The cheapest printer to buy is often the most expensive to run. A few questions up front save money and frustration.
Laser or inkjet?
- Laser: best for mostly text, larger volumes and documents that won't smudge; toner lasts a long time
- Inkjet: better for photos and colour; ink-tank models cost less per page than cartridge models
Look at the cost per page, not the price tag
Check what replacement toner or ink costs and how many pages it prints. Over a few years, that matters far more than the purchase price. Also check whether a printer only works with the maker's own cartridges or a subscription.
Features worth having in an office
- A network connection (a cable is more reliable than Wi-Fi for a shared printer)
- Automatic two-sided printing
- Scan to e-mail or to a shared folder, and a document feeder if you scan multi-page documents
- Support for every computer you use: Windows, Mac, Chromebooks and phones
Set it up properly
- Give it a fixed address on the network so it doesn't "disappear"
- Change the default admin password
- Turn on firmware updates
We help choose the right printer for how you work, and set it up so it works for everyone in the office.
