If customers keep saying they never got your quote or invoice, or find it in spam, the problem is usually not what you wrote. It's that their e-mail provider can't confirm the message really came from you.
Sender records
If you send from your own domain ([email protected]), the domain needs three records that tell other mail servers which senders are genuine:
- SPF: the list of services allowed to send mail for your domain
- DKIM: a digital signature on each message, proving it wasn't changed and really came from you
- DMARC: what receivers should do with mail that fails those checks, plus reports so you can see who sends as you
Large mailbox providers such as Gmail and Yahoo now expect these, and are much more likely to send mail without them to spam.
Other common causes
- Sending through a website form, invoicing app or newsletter tool that isn't listed in your SPF record
- Using a free Gmail or Yahoo address for business mail sent through other services
- Lots of links or attachments in a first message
We check your domain's records, set up SPF, DKIM and DMARC for every service that sends as you, and test that your mail arrives.
